How to use the template
Option 1: Print and fill by hand
Download the PDF, print copies, and keep a stack in the site office. Fill it out at the end of each day. This works for small sites but has drawbacks: no photos, hard to search later, and you’ll need to re-type it if a client wants a digital copy.
Option 2: Fill in Excel
Download the Excel version, fill it digitally, and email the file (or a PDF export) to your client. Better than paper, but still requires manual data entry and photo insertion is clunky in Excel.

DPR template tips
Fill it out on-site, not at home
The biggest mistake contractors make is trying to reconstruct the day’s events from memory at 8 PM. Fill out the template on-site, at the end of the workday, while everything is fresh. You’ll be more accurate and it’ll take half the time.
Take photos throughout the day
Don’t wait until report time to take photos. Snap photos as tasks complete — when the concrete is poured, when the framing goes up, when materials are delivered. Then attach them to the report at the end of the day.
Be specific about quantities
“Worked on foundation” is useless. “Poured 45 cubic meters of M25 concrete for footing in Section B, grid lines 3-5” is useful. Quantities let clients verify progress and let you track material consumption.
Don’t skip the “issues” section
Even if nothing went wrong, write “No issues” — it shows you checked. When something did go wrong, document it honestly. Clients trust contractors who report problems transparently.
Keep the format consistent
Use the same template every day. Clients should know exactly where to find the information they need. Changing formats every week makes your reports look unprofessional and harder to read.
What makes a good daily site report?
A good DPR answers these questions before the client asks them:
- Who was on-site? — Workforce summary with trades and counts
- What got done? — Specific tasks with quantities and locations
- What materials were used? — Delivered and consumed materials
- Were there any problems? — Issues, delays, and safety items
- What’s happening tomorrow? — Plan for the next day
- Can I see proof? — Photos of completed work
If your report answers all six questions, it’s a good report. If it misses any of them, it’s incomplete.
